1. Our approach

Reki note handles information that must not leave your organization, such as meeting recordings, transcripts and minutes. HIBACHI inc. ("we") handles your information with integrity and keeps working to prevent leaks.

Even so, we do not promise that Reki note is "100% secure." Data breaches keep happening even at large and publicly listed companies, and we believe no cloud service can reduce the risk to zero.

Reki note offers Local mode, which keeps your meeting records on your device, and Standard mode, which uses cloud features. Choose the one that fits your use.

2. Local mode

In Local mode, meeting records such as recordings, transcripts and minutes are processed and stored on your device. They are not sent to Reki's servers, and we do not collect them.

Because your meeting records do not exist on Reki's servers, there is no path for them to leak from Reki's servers.

The app still makes the connections it needs, such as sign-in, update checks, and the usage analytics and error reports we use to improve the app, but they do not include your meeting records. If you choose to use an external AI service, data is sent to that service.

Records you synced to the cloud while in Standard mode stay in the cloud after you switch to Local mode.

The security of data on your device depends on your computer's security, such as its sign-in password and disk encryption.

3. Standard mode (cloud)

Standard mode uses cloud transcription and AI, cloud sync, cloud MCP and other cloud features, so meeting information passes through our servers and the cloud and AI services we contract with. These providers are listed in our Privacy Policy.

We manage your information as carefully as we can and keep working to prevent leaks. We do not publish the specific measures, so that they cannot serve as clues for attackers.

Even so, as long as the cloud is involved, the possibility of a leak cannot be eliminated. Please use Standard mode understanding both its convenience and its risks. For confidential meetings, or meetings where a leak would have a serious impact, we recommend Local mode.

4. If a breach occurs

- We will immediately investigate the scope and stop further damage.

- We will tell affected customers what happened and what they should do.

- We will report to the Personal Information Protection Commission and other authorities as required by law.

- We will publish the cause and the measures to prevent it from happening again.

5. What you can do

- Record confidential meetings in Local mode (Settings > AI > Processing mode)

- Turn off cloud sync if you do not need your records in the cloud (Settings > Plan & Account > Save Reki data to the cloud)

- Disconnect cloud MCP connections you no longer use

6. Changes and contact

We update this policy as the service changes. We will announce important changes in the app or on this website.

For details on how we handle data, see our Privacy Policy (https://rekinote.app/en/legal/privacy/).
